TEXAS 4-H ROUNDUP

Texas 4-H Roundup is held annually in College Station on the campus of Texas A&M University. Texas 4-H Roundup is a qualifying event for youth between the ages of 14 and 18 that have successful placed in a qualifying spot at the district level. County and district Roundup's are open to all ages of 4-H members from 9 to 18.

Texas 4-H Roundup includes approximately 40 different contest that test 4-H members on life skills in such attributes are decision making, public speaking, organization, and working with others. These contests include such things as Fashion Show, Food Show, an assortment of judging contests, and educational presentations.

On behalf of the Texas AgriLife Extension Service and Texas 4-H, welcome to the 2009 Texas 4-H Roundup. It is our hope that each 4-H member, parent, volunteer, and county Extension agent has an enjoyable time at the event. Since 1946, Texas 4-H Roundup has been one of the largest youth events held on the campus of Texas A&M University. As we celebrate the 63rd Roundup, and the start of our second century of 4-H in Texas, we have a great deal to be proud of. Texas 4-H is the largest state 4-H program in the United States with approximately 600,000 youth, more than 40,000 volunteers working with and teaching our youth, and on the Golden Anniversary of awarding scholarships we will present approximately $2 million dollars to 4-H members from across our great state.

As you prepare for Texas 4-H Roundup, it is important that you know the registration process, the dates to register and other vital information to make your experience the best it can be. The Texas 4-H and Youth Development Program has prepared this booklet to assist everyone in making their Roundup experience a great one. At any time during your planning process you may have a question, please feel free to contact your County Extension Office.

ELIGIBLE PARTICIPANTS - 2009 Information

Texas 4-H Roundup is not an open participation event for all youth and adults. It is open to those youth who have qualified at the district level in Roundup contests and advanced for competition to the state level, 4-H members that are being awarded a Texas 4-H Youth Development Foundation Opportunity Scholarship, and 4-H members serving on a state level leadership group, such as Texas 4-H Council, Tech Team, Fashion Board, etc. Adults that are invited to participate are parents, guests of contestants, volunteer leaders/coaches, and county Extension agents. Regardless of being a youth or anadult, ALL participants are required to pay a registrationfee.

YOUTH CONTESTANTS
All contestants must have passed their 14th, but not their 18th birthday, before August 31, 2008. Contestants must have been born during the period beginning September 1, 1989 and ending August 31, 1994. All contestants in a contest must have competed at the district level and placed in a placing that allows them to advance to Texas 4-H Roundup. ALL contest participants and scholars are required to pay the full registration for Texas 4-H Roundup.

All contestants registered will be verified and certified at the county, district, and state levels prior to being accepted for participation into Texas 4-H Roundup. When certifying contestants, all information entered into the registration program will be reviewed, including age, prior participation, etc.
WORKSHOP PARTICIPANTS
Youth who would like to attend Texas 4-H Roundup, but have not qualified in a contest, or is not a scholar, may participate in an educational workshop, or in a pilot contest. It is a requirement that the youth be within the same age requirements as a youth contestant. If a youth individual registers for a workshop, it is a requirement that they attend. Those not found not attending will be asked to leave and possible not be allowed to participate in future state/national 4-H events. Any youth that wants to participate in a workshop must pay for a full time registration in 4HCONNECT.
4-H SCHOLARS

4-H members that have been selected to receive a Texas 4-H Scholarship are required to register for Texas 4-H Roundup prior to Roundup for orientation and scholarship assembly. Those 4-H scholars not registered will not be awarded a scholarship.

A scholar HAS to pre-register for a full-time $55.00 participation fee. This is in addition to any lodging or shirt selections you make as you are registering.

When Registering as a Youth: Select "Scholar" in the participant section. You would need to skip any section that does not apply to you. (e.i. contests)

Parents and family members are also required to pay the registration fee.

LEADERSHIP TEAM MEMBERS
Members of Clothing Board, Technology Team, and Food and Nutrition Project Team who have been assigned a
particular task at Texas 4-H Roundup are allowed to
register and attend Texas 4-H Roundup.
TEXAS 4-H COUNCIL MEMBERS
All members of the Texas 4-H Council are required to register for fulltime participation (all nights lodging, Monday through Friday, and necessary meals).
ADULTS
Parents, leaders, and coaches of eligible participants are allowed to register for Texas 4-H Roundup. All adults who plan on attending any part of a contest (i.e. coach of the livestock judging team or just coming in for the contest) are required to register. This is a requirement of the event application and insurance. Parents, leaders, and
coaches can either register as a full-time attendee or
a day attendee, and may do so on 4-H CONNECT or
on-site at Roundup Headquarters.
COUNTY EXTENSION AGENTS
County Extension agents planning to attend Texas 4-H Roundup are required to register for the event. Registration for all county Extension agents must be completed through
4-H CONNECT.

CHAPERONE RATIO

All youth attending Texas 4-H Roundup must be accompanied by a REGISTERED chaperone in a ratio of 1 adult to 8 youth. All chaperone ratios must adhere to gender (i.e. if you send 4 males and 4 females, then you
need 1 male chaperone and 1 female chaperone).

All youth will be required to declare who will serve as their primary REGISTERED chaperone during the registration process on 4-H CONNECT. Youth registration not having an adult chaperone will not be accepted.

REGISTRATION FOR TEXAS 4-H ROUNDUP - 2009 Information

All contestants and scholarship recipients must pre-register for full-time registration using 4-H CONNECT. Adults that wish to have on-campus housing and/or meals must also pre-register via 4-H CONNECT during the registration period below. On-site registration will only be available for day registrations. No housing, meals, and/or workshops will be sold on-site.
Registration Costs:
$ 55.00 for full time youth registration
$ 50.00 for full time adult registration
$ 20.00

for one-day pre-registration on 4HCONNECT
(adults and senior aged 4-H members only)
This option is not available for youth workshop participants.

$10.00 for Friday, June 12, 2009 one-day registration (adults and guests only)

Onsite Registration:
All contestants, leadership youth, scholars, workshop participants, and adults staying in the dorms MUST register on 4-H CONNECT prior to Texas 4-H Roundup. Day registration for adults is available using 4-H CONNECT and will be offered at a reduced cost, compared to on-site adult registration.

Youth guests who are not participating as an contestant, scholar, workshop participant, etc. must register on-site due to limitations with the age verifi cation process on 4-H CONNECT.

Onsite Registration Costs:
$ 25.00 for one-day on-site adult registration
$ 20.00 for one-day on-site youth registration

PACKET PICK-UP - 2009 Information

Packet pick-up is allowed by individuals or as a county group. If a county Extension agent, or county delegation coordinator, is planning on picking up the entire county’s registration, it is his/her responsibility to designate a location
and time to meet and distribute materials. The Roundup registration staff will not be responsible for redistributing registration packets once they have been signed for.

At this location, registered participants will pick up their registration packet. Parents, siblings, grandparents, and other relatives/friends that are attending for only one day, can register on-site at the on-site/information desk located in front of Room 292.

Registration will be open during the following times:
Tuesday, June 9, 2009 8:00 a.m. - 7:00 p.m.
Wednesday, June 10, 2009 7:00 a.m. - 7:00 p.m.
Thursday, June 11, 2009 7:00 a.m. - 7:00 p.m.

Participants arriving on Wednesday or Thursday will have to go to Commons Housing Offi ce after picking up their registration packet to receive dorm assignments and keys. (Those staying in hotels are responsible for their own
travel to check in and check out.)

All participants (youth, volunteers, leaders, parents, county Extension agents, guests, faculty) are required to provide the necessary forms listed below in order to receive their Texas 4-H Roundup Registration Packet. This is a matter of risk management and must be followed.

REGISTRATION PAYMENT - 2009 Information

All payments for Texas 4-H Roundup must be RECEIVED IN THE TEXAS 4-H YOUTH DEVELOPMENT FOUNDATION OFFICE by Friday, May 29, 2009. Registrations not having been paid by the close of May 29, 2009 are subject to cancellation.

To prevent the possibility of cancellation, everyone is encouraged to use the credit card or e-check payment option on 4-H CONNECT. If a COUNTY/CLUB is mailing a payment, it must be mailed to:

MEDICAL CARE

Limited, secondary medical/accident care insurance covering non-existing conditions/illnesses is provided for registered Roundup youth participants at two (2) local hospitals: St. Joseph’s and College Station Medical Center; and one (1) medical clinic: Care Plus Medical Center. All emergencies MUST be reported to the Roundup Headquarters in order to ensure proper processing of insurance coverage. Procedures for fi ling a medical claim (these must be adhered to exactly or the claim will not be paid).

• All questions must be answered in full for the claim to be processed.
• The insured (parent or guardian, if minor) must complete the insured’s section in full.
• Completion of all sections.
• Attach itemized bills showing: (a) name of patient, (b) diagnosed condition, (c) date of treatment, (d) nature of treatment, and (e) charge per treatment. Make a copy of everything before you put your packet in the mail.
• It is the responsibility of the insured (parent or guardian, if minor) to send in the Claim Form to the Texas 4-H Office. The organizational certifi cation section must be completed and certifi ed by an official of the sponsor organization.
• Must be received IN the Texas 4-H Offi ce by June 30, 2009. Send all completed forms, itemized medical

LODGING - 2009 Information

Cost: $18.00 per night for on-campus housing

Youth and adults that wish to stay in 4-H arranged housing will be housed on the campus of Texas A&M University in the South Side Dorm area. Guidelines for Roundup arranged housing are:

• Youth will be housed with youth, and adults will be housed with adults. Youth members will not be housed with parent/guardian. NO EXCEPTIONS!!
• Housing will be done by gender then by district, then county.
• Genders will be housed in either separate dorms or, at least, separate fl oors within the dorms. (Texas 4-H and Texas A&M University Residence Life reserves the right to house participants to be efficient for both the event and facilities.)
• Participants can request roommates; however, they must be from the same county and district. Requests will be filled as best as possible.
• No participant in Roundup housing is allowed to change rooms without notifying and requesting the change with Roundup housing officials.
• Participants will be required to provide all bed linens, pillows, bath towels, and personal items.
• Roundup participants will receive their registration packet (nametag, program, meal tickets) at Roundup Headquarters at MSC 292, but will be required to go to Housing Headquarters located in the Commons of the Southside Dorm complex to receive housing assignment, access card, and room key after Tuesday.
• Monday night housing is being provided as a convenience in 2009 for 4-H members having a Tuesday morning contest. All 4-H members planning on Monday night arrival must have their own chaperone because Texas 4-H Roundup does not offi cially begin until 8:00 a.m. on Tuesday, June 9, 2009.
• Check-in to the dorms is not allowed until 3:00 p.m. on Monday, June 8, 2009. This includes EVERYONE - Texas 4-H Council, scholars, contestants, etc.
• If staying in the dorms on Monday you must arrive for check-in between the hours of 3:00 p.m. and 8:00 p.m.

MEALS - 2009 Information

Meals will be available for all Roundup participants through the Texas A&M University Dining Services. All meals will be served in the Commons Food Court located on the main floor of the Commons. The food court houses a Chick-fil-a, Sargino’s Pizza, Common Denominator Deli, and the Tomato Bar Express which served made-to-order pastas and salads. Grab n’ go items and snacks are also available. The convenience store in the Commons is also open from 7am-5pm.

Meals will be on a cash-sale basis between the participant and TAMU Dining Services. Each meal will cost an average of $6.50 to $7.00 depending on your selection and amount of food. To help TAMU Dining Services plan accordingly, each participant planning on using the on-campus dining facility will be ask to estimate what meals they will be eating on campus.

TAMU Dining Services accepts cash, credit card, and/or debit cards.

Cost: $10.00 per shirt

Show your Texas 4-H Roundup Spirit with the purchase of the offi cial Texas 4-H Roundup shirt. Shirts are available for PRESALE ONLY through Texas 4-H Roundup registration. Additional t-shirts may be purchased for family members or 4-H clubs through Roundup registration via 4-H CONNECT.

T-shirts will be distributed at Roundup Registration. No Roundup t-shirts will be available for sale during Texas 4-H Roundup.

PARKING - 2009 Information

Cost: $7.00 per pass/week

Youth participants are NOT allowed to drive to Texas 4-H Roundup.

Parking passes must be purchased on-line through 4-H CONNECT. Parking passes will be mailed to each adult ordering one prior to Texas 4-H Roundup - PLEASE ENSURE THAT YOUR MAILING ADDRESS ON 4-H CONNECT IS CORRECT. No parking passes will be available for sale at Roundup. Permits should be displayed on dashboard while parked on campus.

Parking on the campus for Texas 4-H Roundup will be for the surface lots around the Reed Arena, surface lot at the corner of Bizzell and Lewis Street (dorm area), and the surface parking lot located directly across the street from the Kleberg Animal Science Building. Each adult planning on attending Texas 4-H Roundup may purchase a parking pass that will allow parking in any of the above mentioned lots.

Parking in any other lot than those designated on the Texas 4-H Roundup Parking Permit may result in a ticket being issued by the Texas A&M University Police Department. The Texas 4-H and Youth Development Program and Texas 4-H Roundup will not be responsible for any parking violations, nor will assist you in their dismissal.

Parking with a 4-H permit will NOT allow parking in the University Center Garage (MSC/Rudder Tower). You may use the University Center Garage at a fee of up to $15.00 per day.

WORKSHOPS - 2009 Information

Too many teens are dying. You can help stop it. Be a part of a life-saving cause.

Car crashes kill more young people than any other cause, accounting for nearly half of all teen deaths in America each year. About 6,000 U.S. teens die each year in car crashes; that’s the equivalent of a commercial jet loaded with teenagers crashing once every week for an entire year. Teens in the Driver Seat® is the fi rst program to involve young drivers in developing and delivering safety messages to their peers. Teens help shape the program and are responsible for implementing it; Texas Transportation Institute provides the science, guidance and project resources.

This workshop will inform teens on the dangers they face behind the wheel as both drivers and passengers, while showing them how to use the TDS program to make their communities safer for all drivers and passengers.

Come see the next big contest in 4-H!
The 4-H Food Challenge will offi cially become the newest 4-H Roundup contest starting in 2010. This demonstration will show the energy of this new interactive team competition. Modeled after such shows as Food Network’s Iron Chef, the event allows youth to compete head-to-head with other teams in create a dish with only a limited amount of ingredients and then present on the nutritional factors, cost anaylst, and preparation process. The demonstration will introduce 4-H members and leaders to the rules and guidelines and how a county can work with youth on the opportunity.

Have you seen the latest? Come check it out at the Volunteer Leaders’ Association of Texas Sales Booth at Texas 4-H Roundup! So, make plans now to buy all of those judges’ gifts, awards, and special gifts. Affordable items will be available for purchase, and look for some new and exciting items, including scrapbook materials and jewelry!

Proceeds from the booth support collegiate level 4-H scholarships and volunteer training opportunities. The booth will be located on the first floor of Rudder Theater.

OPPORTUNITY FOR 4-H MEMBERS TO SING NATIONAL ANTHEM - 2009 Information

Texas 4-H Roundup will showcase three 4-H members or groups of 4-H members each day for the singing of the National Anthem during the General Assemblies. Information for the applicant is below.

GUIDELINES:

• Entries may be submitted on an individual basis or as a group.
• Groups cannot be made up of more than four (4) members. Three individuals/teams will be selected to perform - one at each assembly held on Tuesday, Wednesday, and Thursday.
• All submissions MUST BE POSTED TO YOUTUBE, along with contact information e-mailed by May 1, 2009 to Mrs. Courtney Dodd, Extension Program Specialist in College Station. Individuals/teams will be announced around May 8, 2009.
• Open to all 4-H members regardless of age (9-19).
• 4-H member does not have to be a contest participant of Texas 4-H Roundup.
• YouTube Video must be of the individual or group (up to four 4-H members) actually singing the National Anthem.
• Singing must be in acapella style (no music).
• If selected to sing during Texas 4-H Roundup, performance will be done acapella.
• Videos will be evaluated by a panel of judges with music experience.
• If selected to sing and not a Roundup participant, singer(s) will have Roundup registration paid for, but will be responsible for any/all meals, transportation, and lodging. Only senior aged members are allowed to stay in University housing.
• Roundup staff will be selecting the nights that the individuals/groups will be performing.

1. Video must be posted to YouTube by the of day on May 1, 2009.

THANK YOU NOTES - 2009 Information

All Texas 4-H Roundup contestants are REQUIRED to bring thank you notes with them for their contest and general Roundup sponsors. All thank you notes will be turned in prior to their competition. All thank you notes should be thanking the donor(s) for their continued support of the contest, Texas 4-H Roundup, and the Texas 4-H and Youth Development Program. Thank you notes should be reviewed by a parent or adult leader prior to placing them in the envelope. All thank you notes will be returned back to the Texas 4-H and Youth Development Offi ce and mailed after Roundup to the donors. Thank you notes can be written on any form of stationary the contestant wishes. All notes must be in a DONOR-ADDRESSED, STAMPED, AND SEALED envelope.

The list of donors will be posted to the Texas 4-H and Youth Development Roundup website approximately two to three weeks prior to the event in addition to being e-mailed to all County Offices and Agents. There is no need to
contact the State 4-H Offi ce asking about the list - it will be posted as soon as it is fi nalized!
